A non-profit organization dedicated to developing one of our most precious resources — gifted and talented students.

 

Board Positions and Committee Chairs

 

Duties common to all positions:

 

1. Each committee chair will serve on the general board and should plan to attend monthly board meetings.  If a committee chair is unable to attend a board meeting, please contact the President to determine what happened at the meeting and if the committee chair has any special tasks arising out of the meeting.

 

2. Each committee chair will maintain and update a notebook of appropriate duties, procedures, and reports, and prepare a final annual report of committee activities to submit with the notebook to the executive committee at the year’s final meeting.

 

3. Each committee chair must submit a proposed plan of action, including a proposed budget, for executive committee approval prior to implementation of any activity.  No committee chair may exceed the total budget amount for any approved activity with out prior board approval for an increase in such budget.  All committee activities and expenditures require the prior approval of the executive committee.  Expenses reflected in the board-approved budget are considered approved expenses.

 

President:

-Preside at meetings of the association, the executive committee and the board.

-Perform duties as prescribed in the by-laws or as assigned by the association or the board.

-Coordinate the work of the officers and committees of the association.

 

President-elect: (Open)

-Act as aide to the president and perform the duties of the president in the absence of that officer.

-Assume the duties of the president at the expiration of the current president’s term.

 

Treasurer:

-Act as custodian of AAGTS funds.

-Keep a full and accurate account of receipts and expenditures, and make disbursements in accordance with the approved budget.

-Report with a statement of finances at meetings of the executive committee and board.

 

Recording Secretary:

- Record the minutes of all meetings of the executive committee and of the board.

-Record the minutes of all meetings of the association at which any formal vote of the membership is taken.

 

Corresponding Secretary:

-Handle AAGTS correspondence as requested by the president, executive committee or the board.

 

Fall Conference Chair or Co-chairs:

-Establish and coordinate a conference committee.

-Plan and coordinate the annual fall conference.

-Determine and arrange, with board approval, for a proposed timeline and a conference speaker for the following year.

-Provide guidance to the subordinate committees: (All open)

                 -Hospitality

                 -Exhibits and donations

                 -Registration

                 -Logistics

                 -Publicity

 

Hospitality Chair: (Open)

-Coordinate and provide refreshments for general board meetings.

-Serve on the fall conference committee to help coordinate food for the conference.

 

Librarian:

-Maintain and expand the material in the AAGTS library.

-Make library material available at general membership meetings.

-Implement a library check-out and security procedure, including a process for retrieving overdue materials.

-Implement a process to recover library materials from borrowers in a timely manner.

 

Membership Chair:

-Maintain updated membership listings and provide to the executive committee upon request  and send out timely membership renewal notices.

-Provide mailing labels for all AAGTS mailings.

-Inventory current membership for new volunteer interests.

 

General Membership Meetings Chair: (Open)

-Plan and coordinate programs with board approval for the four general membership meetings.

-Arrange for facilities and publicity for general membership meetings.

-Coordinate with hospitality, newsletter, and other appropriate chairs.

-Provide nametags for attendees.

 

Awards Chair: (Open)

-Coordinate awards criteria, selection of recipients and awards ceremonies for the NM Regional Science Fair Awards for Creativity, NM History Day Awards for Creativity, and the NAGC Nicholas Green Distinguished Student Award.

 

School Liaison Chair:

-Act as link between the AAGTS Executive board and the various school liaisons.

-Keep school liaisons and school parent organizations informed on AAGTS activities, meetings, and areas of interest.
